Position Description

Retirement Solutions Group in Overland Park, KS is searching for a self-motivated and detailed Client Review Specialist to add to their dynamic team! The Client Review Specialist is responsible for the behind-the-scenes coordination that ensures client review meetings are prepared, scheduled, and documented with accuracy. This position focuses on administrative and operational support for financial advisors, including pulling reports from the CRM, maintaining service schedules, and tracking follow-up tasks. They will provide non-advice-related support to clients, including organizing client meetings, collecting client data, responding to administrative client queries and preparing client letters and standard reports. By managing the preparation and workflow for client reviews, the Client Review Specialist helps the firm deliver a consistent and efficient client experience.

Required Education and Experience:

  • 2+ years of administrative or back office experience in financial services
  • Bachelor's degree or commensurate financial services experience
  • Microsoft Office Proficient
  • Familiarity with financial planning and/or investment terminology
  • Outstanding Critical Thinking and Problem-Solving Skills
  • Outstanding Client Service Skill
  • Life, Health & Accident Insurance licensed in Kansas and Missouri

Essential Functions:
  • Review meeting planning and coordination across multiple offices.
  • Pull client review reports, performance summaries, create statement of accounts, and assemble account data from the CRM and other systems.
  • Prepare organized meeting documents for advisor use, ensuring all information is current and compliant.
  • Maintain and update the firm's client review schedule to ensure timely meetings throughout the year.
  • Schedule reviews with clients according to service calendars and advisor availability.
  • Record meeting outcomes, action items, and next steps in the CRM.
  • Generate follow-up task lists for advisors and operations staff.
  • Track completion of post-meeting deliverables to ensure nothing falls through the cracks.
  • Data & Compliance Management
  • Keep CRM records accurate and up to date with client contact information, account details, and review notes.
  • Client, Advisor & Team Support
  • Provide timely updates to advisors on scheduling status, outstanding reports, and pending action items.
  • Collaborate with operations staff to streamline review preparation processes.
  • Performs general clerical duties to include but not limited to: copying, scanning, filing, faxing, mail processing and distribution
  • Creates and modifies various documents using Microsoft Suite and other necessary programs
  • Performs all other assigned duties
Salary:
  • $48,000 - $55,000 based on experience

  • Monday-Friday 8am-5pm or 9am-6pm
